Tone Difference: IM vs Email (即时通讯 vs 邮件 的语气区别)

Instant messages are shorter, more casual, and faster than emails. Skip the formal greetings — get to the point.

即时消息比邮件更短、更随意、更快。跳过正式问候,直奔主题。

Quick Asks (简短请求)

  • "Got a sec?" — 有空吗?(sec = second 一秒,意为一小会儿)
  • "Quick q:" — 快速问一下:(q = question)
  • "Quick question..." — 简短问一下……
  • "When you have a min..." — 你有空的时候……
  • "No rush" — 不急。(几乎是必加,避免显得催促)
  • "Whenever you get a chance" — 你有空时再说。

Pinging Someone (找人 / 提醒)

  • "@Alice — could you take a look at this PR?" — @Alice 你能看一下这个 PR 吗?
  • "Pinging you on this ☝️" — 提醒你看一下这个 ↑
  • "Bumping this — any thoughts?" — 顶一下这条消息——有想法吗?

Pinging 文化: In most Western teams, @mentioning someone means "I need your attention now." Don't @mention casually — use it when action is needed. 在大多数西方团队中,@某人 意味着"我现在需要你的注意"。不要随便 @人,需要行动时才用。

Acknowledging (回应)

Quick acknowledgments (简短回应)

  • "Got it." — 明白。

  • "Heads up — the build is broken." — 提醒一下——构建挂了。(heads up = 提个醒)

Disagreement and Pushback (异议)

In IM, written words feel harsher than spoken. Soften disagreement.

在 IM 中,文字比口头听起来更生硬,反对意见要软化表达。

  • "Could be wrong, but..." — 我可能错了,但是……

Apologizing for late reply (回复晚的道歉)

  • "Just seeing this now — sorry!" — 现在才看到——抱歉!

  • "Coming back to this..." — 回到这个话题……

Ending a conversation (结束对话)

  • "Cool, thanks!" — 好的,谢谢!
  • "Sounds good, talk later." — 好的,回头聊。
  • "That works, appreciate it." — 这样可以,谢谢。
  • "Going heads-down for a bit." — 我要专注工作一会儿。(heads-down = 专心做事)

Tips for Async-First Communication (异步沟通的小贴士)

  • Front-load context — Don't say "hey" and wait for a response before asking. Say "Hey, quick q about X — [the actual question]". 不要只发 "hey" 等回复才问问题。
  • Use threads — They keep conversations organized and reduce noise. 多用 thread 保持讨论有序。
  • Set status — Update your status when you're heads-down or OOO. 状态更新可以减少不必要的打扰。
  • Don't expect instant replies — IM is async by default. People will respond when they can. 即时通讯默认是异步的,不要期待秒回。
  • Time zones — When working with global teams, mention time zones. "Available 9am-5pm PT" is clearer than "I'm available". 跨时区团队要注明时区。
