Email phrases and templates for work (工作邮件常用句式与模板)
Greeting / Opening (开头)
Formal (正式)
- "Dear Mr. Smith," — 史密斯先生:(最正式)
- "Dear Hiring Manager," — 招聘经理您好:(不知道名字)
- "To whom it may concern," — 致相关人员:(更通用,非常正式)
Standard (标准)
- "Hi Alice," — Alice,你好:(最常用,邮件标准开头)
- "Hello team," — 团队好:

Casual (随意,熟人)
- "Hey Bob," — 嘿 Bob:
Tip 提示: In English work emails, "Hi + first name" is the safe default. "Dear" can feel stiff for everyday email. 在英文工作邮件中,"Hi + 名字" 是最稳妥的默认开头。"Dear" 在日常邮件里会显得有点生硬。
Opening Lines (开场白)
When you know them (熟人)
- "Hope you're doing well." — 希望你一切都好。(最常见)
- "Hope you had a good weekend." — 希望你周末过得不错。
- "It was great meeting you yesterday." — 很高兴昨天见到你。
Getting straight to the point (直奔主题)
- "I'm writing to..." — 我写这封邮件是为了……
- "Just a quick note to..." — 简短说一下……(用于简短的邮件)
- "Following up on our conversation about..." — 跟进一下我们之前聊的……
- "Per our discussion..." — 根据我们之前讨论的…… (per = 根据,正式)
Common Purposes (常见用途)
Asking for Something (请求)
- "Could you please send me the latest design?" — 能发我一下最新的设计稿吗?
- "Would you mind reviewing the attached document?" — 麻烦帮忙看一下附件文档好吗?
- "I'd appreciate it if you could..." — 如果你能…… 我会很感激。
- "When you get a chance, could you..." — 你有空的时候能……
- "Any update on this?" — 这件事有进展吗?(简短跟进)
Offering / Sharing Information (提供信息)
- "FYI..." — 仅供参考…… (for your information)
- "Just sharing this for visibility." — 同步一下,让你知道。(visibility = 可见度)
- "Looping in Alice for context." — 把 Alice 加进来了解一下背景。(loop in = 加入到对话)
- "Adding Bob to this thread." — 把 Bob 加到这个邮件串。
Confirming (确认)
- "Just to confirm..." — 就是确认一下……
- "Confirming our meeting tomorrow at 2pm." — 确认明天下午 2 点的会议。
- "Got it, thanks!" — 收到,谢谢!
- "Sounds good to me." — 我这边没问题。
Apologizing (致歉)
- "Apologies for the late reply." — 抱歉回复晚了。
- "Sorry for the delay." — 抱歉拖延了。
- "My apologies for the confusion." — 抱歉造成混乱。
- "Apologies for the back-and-forth." — 抱歉来回这么多次。(back-and-forth = 反复沟通)
Declining (拒绝)
- "Thanks for thinking of me, but..." — 谢谢你想到我,但是……
- "Unfortunately, I won't be able to..." — 很遗憾,我无法……
- "I have to pass on this one." — 这次我就不参加了。(pass = 跳过)
- "My plate is full at the moment." — 我现在手头任务太满了。(plate = 盘子,比喻工作量)
Reminders / Following Up (提醒 / 跟进)
- "Just a friendly reminder..." — 友情提醒一下……
- "Wanted to follow up on..." — 想跟进一下……
- "Just bumping this up." — 把这个再顶一下。(常用于回复自己之前的邮件)
- "Circling back on this." — 回头跟进一下。
Closing Lines (结尾)
Calls to Action (引导行动)
- "Let me know your thoughts." — 让我知道你的想法。
- "Looking forward to hearing from you." — 期待你的回复。(常用)
- "Please let me know if you have any questions." — 如果有问题请告诉我。
- "Happy to discuss further if needed." — 如有需要可进一步讨论。
- "Let me know if this works for you." — 让我知道这样行不行。
Offers (主动提供帮助)
- "Let me know if I can help." — 如果需要帮助请告诉我。

Sign-Offs (落款)
Standard (标准)
- "Best," — (最常见,简短)
- "Best regards," — (稍正式)
- "Kind regards," — (略正式,常见于英式英语)
- "Thanks," — 谢谢,(随意但礼貌)
- "Thank you," — 谢谢您,(略正式)
Formal (正式)
- "Sincerely," — 此致 (最正式,常用于求职信)
- "Yours sincerely," — (英式正式)
- "Respectfully," — 致敬 (非常正式)
Casual (随意)
- "Cheers," — (英式随意,很常见)
- "Take care," — 保重
- "Talk soon," — 回头聊
Tip 提示: For most work emails, "Best," or "Thanks," is perfect. Avoid "Sincerely" unless writing very formal external communication. 大部分工作邮件用 "Best," 或 "Thanks," 即可。除非是非常正式的对外沟通,否则不要用 "Sincerely"。

AlexTips (写邮件的小贴士)
- Subject lines matter — A clear subject line determines whether your email gets read. Be specific: "Bug in checkout flow" beats "Question". 主题行决定邮件是否被打开,要具体。
- One topic per email — If you mix topics, things get lost. 一封邮件只讲一件事。
- Front-load the ask — Put the most important question or request in the first 1-2 sentences. 把最重要的请求放在前两句。
- Use bullet points — Walls of text get skimmed. Bullets get read. 大段文字被跳读,要点会被读到。
- Mind the CC — CCing too many people creates noise. Only include those who really need it. CC 太多人会变成噪音,只加真正需要的人。
- Reply-all carefully — Make sure your reply is actually relevant to everyone before clicking "Reply All". 谨慎使用 "全部回复"。
